Are you a detail-oriented and solution-driven professional who enjoys working with administrative processes and customer interactions? Then the role of Back Office Specialist might be perfect for you! In this position, you’ll be responsible for processing and checking orders, handling customer requests, resolving administrative issues, and everything that comes with it.
We’re looking for a structured, communicative, and proactive team member who enjoys managing administrative workflows and supporting customers with their inquiries. You are precise, work efficiently, and know how to set the right priorities. Above all, you’re eager to learn, stay up to date with the latest developments in our industry, and make suggestions to improve our product offering based on recurring customer questions.
You’re able to work quickly and result-oriented. In the morning, you start your day by checking the ticket inbox to see if there are any outstanding issues that need to be addressed. You take pride in answering all inquiries as quickly and accurately as possible. We don’t cut corners - every customer (big or small) deserves our full attention. Working with focus and purpose is essential, and we don’t stop until the job is done.
Duties and responsibilities:
- Process and verify incoming customer orders and cancellations accurately
- Handle and respond to customer inquiries and requests via ticketing systems and phone
- Resolve administrative issues in a timely and effective manner
- Collaborate closely with internal departments to ensure workflows are aligned
- Monitor ticket inboxes daily and prioritize urgent or complex cases
- Maintain up-to-date documentation of processes and recurring issues
- Identify trends or frequent questions from customers and propose improvements to our product offering
- Ensure a high level of customer satisfaction through accurate and thoughtful responses
- Contribute to a culture of focus, efficiency, and responsibility — we value quality over speed
- Take ownership of your workload and help ensure that no tickets are left unresolved
What do we ask:
- Minimum MBO-level working and thinking ability
- At least 1 year of experience in an administrative or support role
- Strong command of both Dutch and English, written and spoken
- Experience with tools like Zendesk and Microsoft 365; hosting knowledge is a plus
- Able to work both independently and collaboratively
- Excellent attention to detail and organizational skills
- A team player with a customer-first attitude
- Flexible, enthusiastic, stress-resistant, and proactive mindset
What do we offer?
- A monthly gross salary between EUR 2,449 and EUR 3,421, based on experience and education (based on a 40-hour workweek)
- Full-time or part-time position
- Hybrid work setup, preferably 3 days per week at our headquarters
- Travel allowance of €0.23 per kilometre
- 25 vacation days per year (based on a 40-hour workweek)
